For agencies and client-service teams

From first call to final invoice, in one place.

SparkDesk is the client-work platform for agencies and service teams: CRM, proposals, contracts, projects, time, invoices and a client portal on one record. And your AI assistant can run it with you.

14-day trial, no card. A Free plan for one person.

Animated illustration with sample data. What the animation shows:
  1. On the phone, the client opens quote Q-1042 for $24,000.00, types their name and accepts it.
  2. On the desktop, the deal moves from Proposal to Won on the opportunity board.
  3. From the accepted quote, a 30% deposit invoice INV-2048 for $7,200.00 is created and sent.
  4. The client pays the deposit online from the invoice link, processed by Stripe.
  5. The invoice shows as paid and a Payment received notice appears.

One record, lead to cash

Win it, deliver it, bill it, support it.

Every stage of client work hangs off the same client record. The quote knows the deal, the project knows the quote, and the invoice knows the hours. Nobody re-types anything, and nobody has to ask where things stand.

  1. 01 / Win

    Pipeline, quotes and signed contracts

Track every lead and deal, send a quote from your price list, and get the contract signed with built-in e-signature.

  2. 02 / Deliver

Projects, tasks and time against budget

Won deals become projects from a template. The team logs time against tasks, and you see budget used before it is gone.

  3. 03 / Bill

    Deposits, progress and final invoices

Split an accepted quote into staged invoices, or bill approved hours each period. Reminders and recurring invoices run on their own.

  4. 04 / Support

Requests, cases and a client portal

Client emails and portal requests become cases with SLAs. Clients see their projects, documents and invoices without chasing you.

See it in the app

One client, start to finish.

Animated walkthroughs of real app screens, following one client from pipeline to portal.

01 / Pipeline

See every deal and what it is worth.

Opportunities move across your stages with a running total per column, so you know what is in play and what just closed.

Animated illustration with sample data. What the animation shows:
  1. On the opportunity board, New Opportunity opens the create panel.
  2. The opportunity "Website care plan" for Juniper Bakery is filled in with a close date and an amount of $6,500, and saved.
  3. It appears in the Prospect column and the column total updates.
  4. The "Packaging system" deal is dragged from Proposal to Won, and the close is confirmed.

02 / Contract

Get the SOW signed on any device.

Send the contract for e-signature. The client signs on their phone, and the signed PDF comes back with a signing certificate.

Animated illustration with sample data. What the animation shows:
  1. The client opens the signature request for "Statement of work: Brand refresh" on their phone and accepts the electronic records consent.
  2. They draw their signature with a finger and adopt it for the signature field.
  3. They complete signing, and the request shows as completed with a signed copy to download.
  4. On the desktop, the contract changes to Executed, both signers show as signed, and the signing certificate is added to the signed PDF with times and the signer's IP address.

03 / Project

Run the work against the budget.

The won deal becomes a project with a task board. Start a timer from any task, and keep the estimate and budget in view.

Animated illustration with sample data. What the animation shows:
  1. On the Brand refresh and website project's task board, the menu on "Logo concepts, round 2" starts a timer.
  2. The timer runs on the card and in the top bar.
  3. "Brand guidelines" is dragged from In Progress to Done, and the board confirms the move with an Undo option.

04 / Timesheet

Time rolls into the weekly timesheet.

Tracked time syncs into each person's timesheet, grouped by client project, ready to submit for approval.

Animated illustration with sample data. What the animation shows:
  1. A weekly timesheet for Oct 19 - Oct 25, 2026 is open as a draft, grouped by client project and task.
  2. Sync tracked time pulls in Friday's tracked task time, and the totals update to 33.50h.
  3. The week is submitted for approval and its status changes to Submitted.

05 / Invoice

Bill the hours, get paid online.

Pull unbilled hours into an invoice and send it. The client pays from the link, through your own Stripe account.

Animated illustration with sample data. What the animation shows:
  1. On a new invoice for Lumen Health, Unbilled hours is chosen from the line items menu.
  2. All 4 unbilled time entries for the Patient portal UX project are selected, 18.5 hours at $150.00 an hour.
  3. They become 4 invoice lines totalling $2,775.00, and the invoice is saved and sent.
  4. The client opens the invoice from their phone and pays it online, processed by Stripe.
  5. The invoice shows as paid and a Payment received notice appears.

06 / Portal

Clients see it all in one place.

Your branded portal shows clients what is waiting on them, so approvals, signatures and invoices stop living in email.

Animated illustration with sample data. What the animation shows:
  1. On their phone, the client opens the Fernhill Studio client portal, where "Waiting on you" lists the "Statement of work: Brand refresh" approval.
  2. They open Approvals, choose Approve, add a note and confirm.
  3. The portal confirms the approval and the item leaves the pending list.
  4. On the desktop, the contract's approval step shows Approved with the client's note.

AI-operable

Your AI assistant can run the business with you.

SparkDesk has its own MCP server. Add it to Claude or ChatGPT, sign in, pick your workspace, and your assistant can search clients, log time, draft invoices from hours, record payments and run reports. It only ever does what you are allowed to do.

  • About 60 tools across CRM, projects, time, invoices, Flows, forms and reports
  • Runs with your role and permissions, and every request is logged
  • MCP and the REST API are free on every plan
How AI and MCP work
  • "Draft an invoice for Northwind from their unbilled hours this month."

    uses invoice_generate_from_hours

  • "Start a timer on the Acme homepage redesign task."

    uses timer_start

  • "Which opportunities over 10k have had no activity in two weeks?"

    uses record_search

  • "Record the bank transfer that came in for invoice 1042."

    uses invoice_record_payment

Flows that bill

Retainers invoice themselves from tracked time.

A Flow on each client project opens the period's timesheets, creates the invoice from the period's billable hours, laid out like your last invoice, and delivers it. Weekly, every two weeks, twice a month or monthly.

See Flows automation
Animated illustration with sample data. What the animation shows:
  1. On the Flows page, Templates opens the template gallery, filtered to Billing.
  2. "Client timesheet and invoice (per period)" is used, which creates a draft flow clip.
  3. In the builder, the trigger reads "When a project's clip schedule comes due", followed by Open Project Timesheets, Create Period Invoice, Deliver Invoice.
  4. The Create Period Invoice step is opened in the side panel to check its settings.
  5. The flow is published as version 1.

Controls without the enterprise price

Decide who sees which clients, and keep a record of who changed what.

Roles set what each person can do in each module, and on Business, visibility roles limit people to the records they should see. The audit log keeps a trail, and deleted records go to trash where an admin can restore them.

Questions, answered

Something else? Ask us.

  • Who is SparkDesk for?

Client-service teams of roughly 2 to 25 people who sell, deliver and bill client work: agencies, consultancies, creative studios and event planners. Solo consultants use it too, on the Solo plan.

  • What does it replace?

Usually a CRM, a proposal and e-signature tool, a project tool, a time tracker, an invoicing tool, a help desk inbox and a client portal. It does not replace your accounting software.

  • Can clients pay invoices online?

Yes. Connect your own Stripe account and turn on Pay online, and clients pay by card or bank debit from the invoice link or email. The payment is recorded on the invoice for you. Payments that arrive another way can be recorded by hand.

  • How does the AI assistant connect?

Add the SparkDesk MCP server as a custom connector in Claude, ChatGPT or another MCP client, sign in, and pick your workspace. It works with your own permissions, and it is free on every plan.

  • Is there a free trial?

Every new workspace gets a 14-day trial with no card. When it ends, choose a paid plan or keep working on the Free plan.

  • Can I get my data out?

Yes. You can export your whole workspace, and the REST API covers your records. Nothing is locked in.
